This Privacy Policy explains how VCS Global Pte Ltd ("VCS Global", "we", "us", or "our") collects, uses, discloses, and safeguards personal data when you use our website, contact us, or engage our document processing and visa facilitation services (collectively, the "Services"). By using the Services or providing information to us, you acknowledge that you have read and understood this Policy.

1. Who We Are & Scope

We are a private document processing and consultancy company based in Singapore. We are not affiliated with the Government of India or any embassy, consulate, or authority. For the purposes of Singapore's Personal Data Protection Act (PDPA), VCS Global is the organisation that collects, uses, and discloses personal data. Where the EU/UK GDPR applies, VCS Global acts as the data controller.

2. Information We Collect

We collect information in three ways: information you provide directly, information collected automatically, and information received from third parties.

a) Information you provide directly

• Identification & contact: name, email, phone number, residential address.
• Passport & identity: passport number, dates and place of issue/expiry, photograph, nationality, date and place of birth, gender.
• Immigration & residency: Singapore pass type (EP, S Pass, WP, DP, LTVP, PR, etc.), NRIC/FIN, OCI or Aadhaar details where required.
• Travel & purpose: travel dates, itinerary, purpose of visit, employment or study details where a form requires them.
• Supporting documents: scans of passports, certificates, bank statements, photographs, and other files needed to process your application.
• Payment: billing details and transaction records. Card payments are handled by third-party payment providers; we do not store full card numbers.

b) Information collected automatically

• Device and usage data such as IP address, approximate location, browser type, operating system, pages viewed, and site performance data.
• Cookies and similar technologies used to remember preferences, keep sessions secure, and analyse site usage (see Section 6).

c) Information from third parties

• Payment processors (payment status and limited billing information).
• Analytics and security partners (aggregated or pseudonymised insights, fraud prevention).
• Government portals or authorised agents (status updates and requirements, where applicable).

We only request data that is relevant and necessary for the Services or required by law or the relevant authority.

3. How We Use Your Information

We use personal data to:

• Prepare, review, and submit your visa, OCI, passport, attestation, or PAN applications and manage your enquiry.
• Communicate with you about your application status, document requirements, and service updates by email, phone, or messaging.
• Process payments and maintain accurate records.
• Improve and secure our Services, including troubleshooting, fraud prevention, and quality assurance.
• Comply with legal, tax, accounting, and regulatory obligations and respond to lawful requests from authorities.

Where we rely on your consent to process data, you may withdraw it at any time; this will not affect processing already carried out lawfully before withdrawal.

4. When We Disclose Information

We disclose personal data only as needed for the purposes above, including to:

• Service providers: hosting, cloud storage, communications, analytics, fraud prevention, payment processing, and document logistics, under confidentiality obligations.
• Government portals and authorised agents: to submit your application or respond to official queries, strictly as required.
• Professional advisors: legal, compliance, tax, and audit providers.
• Legal and protection: where required by law, court or agency order, or to protect our rights, users, or the public.

We do not sell your personal data.

5. International Transfers

We operate from Singapore and may process your information in Singapore, India, and other countries where our trusted providers are located, in order to deliver the Services (for example, submitting an application to an Indian government portal). Where we transfer data across borders, we take reasonable steps to ensure it is protected consistent with the PDPA and other applicable laws.

6. Cookies & Similar Technologies

We use cookies and similar technologies to remember your preferences, keep your session secure, analyse site usage, and improve our forms. You can set your browser to block some or all cookies, though this may affect certain website features. You can manage cookie preferences through your browser settings at any time.

7. Your Rights & Choices

Subject to applicable law and verification of your identity, you may have the right to:

• Access the personal data we hold about you and request a copy.
• Correct inaccurate or incomplete data.
• Withdraw consent or object to certain processing.
• Request deletion of certain data, subject to legal and operational limits.

8. Retention

We retain personal data only for as long as necessary to fulfil the purposes described in this Policy, including completing your application, meeting legal, tax, and accounting requirements, resolving disputes, and enforcing our agreements. When data is no longer needed, we securely delete or anonymise it.

9. Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the data, including access controls and role-based permissions. However, no system can be guaranteed to be completely secure. You are responsible for securing your own devices and email account and for ensuring our messages are not blocked by spam filters.

10. Children's Privacy

Our Services are intended for adults. Where we process a minor's data (for example, a child's passport or visa application), we do so on the basis of parental or guardian consent and only as required to deliver the Service.

11. Changes to This Policy

We may update this Policy to reflect legal, technical, or business changes. The "Last updated" date shows when the latest version took effect. Your continued use of the Services after any update means you accept the revised Policy.
